EDM Awards Canada operates the website https://edmawards.ca. We are committed to protecting your privacy and complying with Canadian privacy laws, including PIPEDA.

What data we collect and why

Membership Applications and Profiles

When you apply for membership, we collect:

  • Personal information: first name, last name, email, location (city/province).
  • Professional information: artist/company name, primary role, genres, years active, short bio.
  • Verification links: professional links (e.g., Beatport, Spotify), supporting links (e.g., Twitch VODs, press).

Purpose: To verify industry professionals, enable track submissions/voting, and build public nominee/winner profiles. Data is stored securely and only accessible to admins for verification.

Track Submissions

We collect: uploaded MP3s, metadata (title, artists, ISRC, release date), payment info (processed via third-party like Stripe).
Purpose: Admin review, member voting (Round 1), expert judging (Round 2), promotional use (up to 2-min clips for winners/nominees).

Comments

When visitors leave comments, we collect the data shown in the comment form, plus the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (a hash) may be provided to the Gravatar service to see if you’re using it. The Gravatar service privacy policy is available here. After comment approval, your profile picture is visible publicly.

Media

If you upload images, avoid those with embedded location data (EXIF GPS). Visitors can download and extract this data.

Cookies

  • Comments: Opt-in saves name, email, website in cookies (1 year) for convenience.
  • Login: Temporary cookie checks browser support; login cookies last 2 days (or 2 weeks if “Remember Me”); screen options last 1 year.
  • Editing: Post-editing cookie (no personal data) expires after 1 day.
  • Analytics: We may use non-invasive analytics cookies (e.g., Google Analytics, anonymized) to improve site performance.

You can manage cookies via browser settings.

Embedded content from other websites

Articles may include embedded content (videos, images). This behaves as if you visited the source site directly. Third-party sites may collect data, use cookies, or track interactions.

Who we share your data with

  • Payment processors (e.g., Stripe) for fees.
  • Email services (e.g., password resets include IP).
  • Judges: Access to track metadata (no personal submitter data).
  • Legal: Only if required by law.
  • No selling or renting of personal data.

How long we retain your data

  • Membership profiles: Indefinitely while active; 2 years post-deletion request for records.
  • Tracks: Until 90 days post-Awards (or extended promo opt-in); winners retained longer for archives.
  • Comments: Indefinitely for moderation.
  • Payment data: As required by law (7 years).

Registered users can edit/delete their profile anytime (username excluded).

What rights you have over your data

Under PIPEDA and Canadian law:

  • Access: Request a copy of your data.
  • Correction: Update inaccuracies.
  • Deletion: Request erasure (except legal/admin obligations).
  • Withdraw consent: Limits future collection/use.

Where your data is sent

  • Hosted in Canada (or compliant regions).
  • Third-party services (Stripe, email providers) may transfer data per their policies (all PIPEDA-compliant).
  • Comments checked via automated spam detection.

Security

We use industry-standard encryption, access controls, and regular audits. However, no system is 100% secure—contact us immediately for suspected breaches.

Children

Services not directed at those under 19. We do not knowingly collect their data.

Changes to this policy

Updates posted here with date. Continued use = acceptance. Major changes emailed to members.
